This policy explains your refund rights for FundiBill, our subscription-based invoicing application for South African small businesses. FundiBill is available on two plans: Monthly (R29/month) and Annual (R299/year). Please read this policy carefully before subscribing. 

Nothing in this policy limits your rights under the Consumer Protection Act, 68 of 2008 (CPA) or the Electronic Communications and Transactions Act, 25 of 2002 (ECTA). Where the law gives you stronger rights, the law applies. 

1. Monthly Plan — R29/month 

Monthly subscription fees are charged at the start of each billing cycle and cover that full calendar month of access. Once a billing cycle has started, the fee for that cycle is non-refundable. 

What you can do: 

  • Cancel at any time before your next billing date and you will not be charged again. 
  • You keep full access to FundiBill until the end of the month already paid for. 
  • No cancellation fee applies. 

7-day refund window for new subscribers: 

If you are subscribing to FundiBill for the first time, you may cancel within 7 days of your initial subscription and receive a full refund of your first month’s fee, provided you have not used FundiBill to create, save, or send any invoice during that period. This satisfies the cooling-off right under section 44 of ECTA. 

To claim: email info@fundibill.online within the 7-day window with the subject line “FundiBill — Refund Request” and your account email address. 

2. Annual Plan — R299/year 

Annual fees are charged as a single upfront payment covering 12 months of access. Once your account is activated, this fee is non-refundable, except in the specific circumstances listed below. 

When you are entitled to a full refund: 

  • Unused within 7 days: You subscribed to the annual plan but have not used FundiBill (no invoices created or sent) and you cancel within 7 days of signup. Email us within the 7-day window to claim a full refund. 
  • Service failure: FundiBill’s core invoicing function materially fails and we cannot fix it within a reasonable time after you have notified us (see section 4). 

When you are entitled to a pro-rata refund for unused months: 

  • Discontinuation: If FundiAI discontinues FundiBill entirely, a pro-rata refund will be issued for any full months remaining in your annual period from the discontinuation date. You will receive at least 90 days notice before discontinuation. 
  • Material feature removal: If FundiAI removes a feature that materially changes what FundiBill does, and you cancel within the notice period provided, a pro-rata refund for the unused portion of your annual subscription may apply. 

Not refundable under the annual plan: 

  • Cancelling mid-year simply because you no longer need the service. 
  • Dissatisfaction with features that were available and described at the time of purchase. 
  • Third-party disruptions (e.g., email delivery issues, payment gateway issues) beyond our control. 

Tip:  Not sure yet? Start with the monthly plan at R29/month. You can switch to annual at any time once you’re happy — and you’ll save roughly 14% compared to paying monthly. 

3. Auto-Renewal 

Both plans auto-renew at the end of each billing cycle — monthly on the same date each month, and annually on the anniversary of your signup date. 

  • For annual renewals, we will send you a reminder email at least 14 days before your renewal date, stating the renewal amount and renewal date. 
  • To avoid being charged for the next cycle, cancel before your renewal date. 
  • Cancellations take effect at the end of the current paid period — you are never cut off early. 

4. If FundiBill Stops Working 

If FundiBill’s core invoicing function materially fails — meaning you cannot create or send invoices — and we are unable to fix it within a reasonable time after you have notified us, you are entitled to a refund for the period affected. 

This includes: 

  • Complete loss of access to your account with no restoration. 
  • The app consistently failing to create or send invoices due to a fault on our side. 

This does not include: 

  • Temporary downtime for maintenance or updates. 
  • Issues caused by your device, browser, or internet connection. 
  • Third-party outages (email delivery, payment processing) beyond our control. 

To report a service failure, email info@fundibill.online with the subject line “FundiBill — Service Issue” and a description of the problem. We will respond within 1 business day and aim to resolve critical issues as quickly as possible. 

5. Failed or Missed Payments 

If your payment fails at renewal, we will notify you by email. You have 7 days to settle the outstanding amount before your account is suspended. If payment is not received within 30 days of the due date, your subscription may be cancelled. 

No refund is due for periods where your account was suspended due to non-payment. If you resolve the payment within the 7-day window, your subscription continues uninterrupted. 

6. Your Data After Cancellation or Non-Renewal 

After your subscription ends — whether by cancellation, non-renewal, or termination — your account and all data are retained for 30 days. During this window you can log in and export your invoices and client records. 

After 30 days, your account and associated data may be permanently deleted. FundiAI is not responsible for data loss after this period if you have not exported your records. We strongly recommend exporting your data before your subscription ends. 

To request a data export at any time during your active subscription, email info@fundibill.online. We will provide your data in a commonly used format within a reasonable time. 

7. How to Cancel 

You can cancel your FundiBill subscription at any time by: 

  • Using the cancellation option in your account settings (where available); or 
  • Emailing info@fundibill.online with the subject line “FundiBill — Cancel Subscription” and your account email address. 

Cancellation takes effect at the end of your current billing cycle. We will confirm your cancellation by email. No cancellation fee applies. 

8. How to Request a Refund 

Email info@fundibill.online with: 

  • Subject line: “FundiBill — Refund Request” 
  • Your full name and the email address linked to your FundiBill account. 
  • The charge date and amount. 
  • The reason for your refund request. 

We will acknowledge your request within 2 business days and aim to resolve it within 10 business days. Approved refunds are returned via the original payment method: EFT within 5–7 business days, PayFast within 3–5 business days after approval. 

9. Your Consumer Rights 

This policy does not limit any rights you have under South African law, including the Consumer Protection Act, 68 of 2008 and the Electronic Communications and Transactions Act, 25 of 2002. Where the law provides stronger rights than this policy, those rights apply.

10. Changes to This Policy 

FundiAI may update this Refund Policy from time to time. Active subscribers will be notified by email at least 14 days before any material changes take effect. The current version is always published on our website with the effective date.
